People System Admin

Key Accountabilities

Provide expert support and guidance for system queries across People Systems including resolving access and user issues. Support the People Operations team with day to day process queries and issues.

Administer user accounts, permissions and role-based access across all people related systems

Maintain system configuration, housekeeping and user records. This includes building and maintaining system workflows.

Manage incidents, raising them with the appropriate supplier if required, manage communication with the supplier and any users affected, see issues through to resolution

Produce HR reports as requested/required from Business Objects and support the production of larger reports, such as the quarterly metrics and the annual people report

Responsible for the data transfer between the HRIS (iTrent) and other people related systems such as the LMS and Culture Amp.

Create and administer all people related surveys through our employee engagement platform (Culture Amp). These include but are not limited to the employee engagement survey, the volunteer engagement survey and employee exit survey. Ensure the survey design is correct by liaising with the appropriate sub-team withing the People department and the employee/volunteer data is up to date within the platform.

Support iTrent upgrades through testing, feedback, user acceptance testing coordination, reviewing new functionality, communications and providing information to the People Systems Manager to aid with decision making

Development and maintenance of user guides for end users to follow including supporting the People Operations team with process documentation for their processes and procedures.

Overall responsibility to deliver new system modules as required and support with continuous improvement activities.

Deliver system related training to end users on a regular basis this will include the production of training materials and videos/guides. Such as training all hiring managers on how to use the recruitment module on iTrent.

Responsible for ensuring that all People Systems related processes are maintained to the highest standard. Changes are communicated quickly and end users are given the information and support they need to be able to use the systems effectively.

Key Interfaces
The key systems that the job holder will need to work with are iTrent (our HRIS), our Learning Management System which is through Learning Pool, our Volunteer Management System (Better Impact), our employee engagement system (through Culture Amp) and Microsoft Office.
The main stakeholders for this role are internal but stakeholder management and communication will be required with external suppliers. This role requires regular collaboration with the wider People and Payroll teams, providing system support and data analysis as needed. The postholder will also support hiring managers with any issues relating to the recruitment process within iTrent.
