Role Overview

We are seeking an experienced and proactive iTrent System Administrator to take ownership of the day-to-day administration, configuration, maintenance and continuous improvement of our iTrent HR and payroll system.

The successful candidate will act as a key subject matter expert for iTrent, working closely with HR, Payroll, IT, Finance and other business stakeholders to ensure the system remains accurate, secure, efficient and aligned with organisational requirements.

This is an excellent opportunity for an experienced iTrent professional to take ownership of a critical HR technology platform and play a key role in delivering system improvements, automation and high-quality HR and payroll processes.

Key Responsibilities

iTrent System Administration

  • Act as the primary system administrator and subject matter expert for iTrent.
  • Manage day-to-day administration and configuration of the iTrent system.
  • Maintain organisational structures, employee records, user access, security roles and system settings.
  • Configure workflows, processes, forms, fields and other system functionality.
  • Ensure system data is accurate, consistent and maintained to a high standard.
  • Manage system housekeeping and regularly review configuration to identify opportunities for improvement.
  • Maintain system documentation, procedures and configuration records.

HR & Payroll Systems Support

  • Provide first-line and second-line support to HR, Payroll and other iTrent users.
  • Investigate and resolve system issues, data discrepancies and user queries.
  • Liaise with the iTrent supplier/support team where issues require escalation.
  • Support payroll processing by ensuring relevant system configurations and interfaces are operating correctly.
  • Assist with troubleshooting integrations and data feeds between iTrent and other business systems.

System Changes & Improvements

  • Gather and analyse requirements from HR, Payroll and business stakeholders.
  • Design, configure and test system changes.
  • Lead or support system upgrades, releases, patches and enhancements.
  • Conduct appropriate testing and user acceptance testing before changes are implemented.
  • Identify opportunities to automate manual processes and improve system efficiency.
  • Support the development and implementation of new iTrent functionality.
  • Ensure changes are appropriately documented and controlled.

Reporting & Data

  • Develop and maintain standard and ad-hoc iTrent reports.
  • Support HR and Payroll teams with data analysis and reporting requirements.
  • Ensure reporting is accurate and delivered within agreed timescales.
  • Assist with data audits, reconciliation and data quality initiatives.
  • Support the production of management information and statutory reporting where required.

Security & Compliance

  • Manage user access and permissions in accordance with organisational policies.
  • Ensure appropriate controls are in place around sensitive employee and payroll information.
  • Support GDPR and data protection requirements relating to HR systems.
  • Maintain appropriate audit trails and system controls.
  • Work with IT and Information Security teams to address system risks and vulnerabilities.

Projects

  • Support and/or lead iTrent-related projects and system implementations.
  • Assist with data migrations, integrations and organisational changes.
  • Work collaboratively with project teams, external suppliers and internal stakeholders.
  • Provide technical expertise during system upgrades and transformation initiatives.

Desirable Experience

  • Experience supporting iTrent HR, Payroll, Self Service and/or Recruitment modules.
  • Experience with iTrent interfaces and integrations.
  • Experience with SQL, data querying or reporting tools.
  • Experience managing HRIS implementations or major system upgrades.
  • Knowledge of UK payroll legislation and processes.
  • Experience working within a complex or multi-site organisation.
  • Experience with data migration and reconciliation.
  • Knowledge of GDPR and HR data protection requirements.
